Restrict Template Access for Users
Permission RequiredTo manage template access for users, your account must have a User Role that includes the "Manage Users" permission. Contact a NinjaCat admin on your team if you need this permission.
Overview
You can control which templates each agency user has access to. By default, all users have access to every template in your agency. When you restrict a user's template access, the following applies:
- Templates: The user will only see templates you've explicitly granted, plus any NinjaCat starter templates. Restricted templates will not appear in any template list, dropdown, or search result — and the user cannot access them by URL.
- Reports: Any reports built on a restricted template are automatically hidden from the user.
- Dashboards: Any dashboards that contain a restricted template are automatically hidden from the user. Dashboards built exclusively with NinjaCat starter templates remain visible.
Who Is Affected
Template access restrictions apply only to agency users. The following user types always have full access to all templates and are not affected by this setting:
- Admin users
- Parent agency users
- Advertiser users
NinjaCat starter templates are always visible to every user, regardless of template access settings.
How to Restrict Template Access for a User
- Navigate to Setup → Users
- Click on the agency user you want to modify
- Find the "All Templates" toggle in the user's settings
- Turn the "All Templates" toggle off
- A template picker will appear — select the specific templates this user should have access to
- Click "Save Changes"
The user will now only see the selected templates (plus NinjaCat starter templates) throughout the platform.
How to Restore Full Template Access
- Navigate to Setup → Users
- Click on the agency user you want to modify
- Turn the "All Templates" toggle on
- Click "Save Changes"
The user will once again have access to all templates in your agency.
Frequently Asked Questions
Does restricting template access affect existing reports and dashboards? Yes. If a report is built on a restricted template, the user will no longer see that report. Similarly, dashboards containing restricted templates will be hidden from the user's dashboard list.
What happens to NinjaCat starter templates? NinjaCat starter templates are always visible to all users. They are not affected by template access restrictions.
Can I restrict template access for admin or parent agency users? No. Template access restrictions only apply to agency users. Admin users, parent agency users, and advertiser users always have full access to all templates.
What happens if I make someone a template owner but they don't have access to that template? When a restricted user is added as a template owner, they are automatically granted access to that template. However, removing them as a template owner does not automatically revoke their template access — you'll need to update their template access separately if desired.
Do new users start with full access by default? Yes. All new users have the "All Templates" toggle set to on by default, giving them full access to every template. No existing users are affected until you explicitly restrict their access.
